Job Description
Event Management Manage own portfolio of event areas, demonstrating awareness of the target audience and political sensitivities. Establish own priorities and organise own workload ensuring that events are organised to specification, budget and tight deadlines. Specific duties to include: Propose, developing and implementing an integrated programme of events (seminars, conferences and residential events), advising on content, speakers and programme structure, as well as timing, geographic location, venue and technical requirements. Prepare of detailed budgets for each event to maximise revenue and ensure profit, to monitor and control income and expenditure, and produce final report on financial and policy performance, using the balanced scorecard. Propose marketing strategies to maximise audiences, supervising the work of administrators within team to ensure efficient delivery to schedule. Advise marketing and sponsorship staff of suitable targets, with close liaison to maximise their contribution to individual events and to the programme of events as a whole. Source and contract with external suppliers in line with contracting procedures, managing temporary and specialist technical contract staff at events Report regularly on progress re individual events in the context of the annual programme. Managing on site delivery with team, contractors, members and others. Evaluating each event to monitor overall performance against objectives. Financial Management 1. Prepare annual programme budget for portfolio areas, and monitoring actual outturns against budget. Prepare detailed budgets for each event to maximise revenue and ensure profit, monitoring to maximise profitability. Exercise financial management of own work area to agreed standards. Relationship Management Work closely with policy officers to develop an annual programme of events to meet corporate priorities, policy and commercial objectives. Initiate programme ideas, advising policy staff, Executives and leading members on the use of events to achieve policy and commercial objectives. Develop and maintain relationships with a network of key external contacts including negotiations with partners, venue managers, contractors and other suppliers of services. Facilitate the exchange of information, ensure the provision of sound advice, support and services to the organisation and promote the influence of the organisation.
