Job Description
On behalf of our client an international company with core activity in the financial investment sector, we are seeking to recruit an Executive Assistant who will report to the Global Sales Manager.
The role will support the Global Sales Manager in the Sales and Marketing operations functions and will require a thoroughly organised and resourceful approach with the ability to multi task and work to deadlines. You will be tasked with providing a range of Executive Assistant duties from diary and travel management to preparing presentations and report writing with a total objective to ensure that deadlines are met and to assist the smooth operation of the sales and marketing function.
Also as a member of the sales and marketing operations team enhance the relationship between the company and its investors through providing high-quality support for investor relations as established by company standards and deadlines.
To contribute to the marketing and client relations function through ideas, participation and feedback.
Duties and Responsibilities:
Full diary management for Global Sales Manager (meetings, conferences, phone-calls)
Client meeting preparation and itineraries
Marketing trip reports and follow-up action
Progress tracking, priority and deadline management for outstanding issues
Screening incoming telephone calls
Travel management and conference coordination
Organisation of physical and electronic filing for all marketing documents
Production of presentations
Team meeting organisation
Client event preparation and participation
Expense preparation
Communication with other teams and managers within the company as required
Assist Global Sales Manager with administrative tasks
INVESTOR RELATIONS
Support to the Investor relations function as required
Compile periodic activity reporting for Investor relations
WEBSITE MANAGEMENT
To support website management as required
MARKETING PROCESSES
Co-ordination of the company's attendance at Conferences and industry Events
Participation in general marketing processes as required
Qualifications/Skills Required
Experience required
Strong Executive Assistant/PA experience in a hedge fund, asset management or financial services environment.
Knowledge of Microsoft Office packages
A good degree
Highly organised individual with tremendous attention-to-detail and time management
Strong verbal and written communication skills
Proven ability to multi -task and ensure job completion
Flexibility to support GSM when required
