Job Title: Project Secretary
Based: Project based
Reporting to: Project/Construction Manager

The ideal candidate will be methodical, professional, confident and of a cheerful disposition. Your flexible and self-motivated approach will enable you to work effectively to organise and deliver your own workload, as well as enjoying working within the wider project team.
Job Purpose
The role of the Project Secretary is to manage all aspects of the day to day administration and support of the project office, ensuring an efficient and calm working environment for the project team.
Key Deliverables
· Opening and distributing post
· Receiving and distributing all faxes
· Ordering and maintaining stationary supplies, etc.
· Checking and ordering of all provisions, i.e. stationery, tea, coffee etc.
· Ordering of reprographics and couriers where necessary.
· Maintaining proper use of office machinery and call engineers where necessary.
· Distribution and outgoing post.
· Petty cash
· Typing, distribution and filing of all project related correspondence for the project team.
· Maintaining an up-to-date filing system (as set out in the company's Best Practice Manual).
· Maintain an awareness of who's who on a project and of ongoing activities e.g. Client, Trade Contractor, Architect, QS etc.

· Pleasant and confident telephone manner
· Methodical approach to duties
· Knowledge of Word and Excel
· Accurate typing skills
· Good organisation skills
· Self motivated
· Team spirit
